When a service application is received at the front desk, its information is digitally recorded and a tracking record is created. Although the physical file continues to move between desks and officers in hardcopy, every transfer is recorded in the system. This allows authorized users to see the current location of a file, the officers or desks it has passed through, the time spent at each stage, and the overall progress of the application.
The system provides a transparent workflow for officers, directors, and management while reducing uncertainty about file status and movement. Authorized users can quickly identify pending files, files currently under an officer or director, processing timelines, and service applications requiring attention.
DSMTS also provides DG and senior officials with an overall operational view of DGDA through dashboards and management-level insights. They can monitor the number of applications received, applications in process, pending files, workload across different directorates and officers, file movement, processing times, and the overall status of services.
